Job Functions

 

  • Assist the Centre Manager to lead team members to live by the KOFISI brand, mission and values. 
  • Assist Center Manager to manage all building operations and communications to ensure the highest level of member satisfaction.
  • Manage the meet and greet of incoming visitors including directing and escorting to client offices
  • Ensure client onboarding and exit process is smooth by  adhering to the relevant procedures
  • Coordinate with office assistants to ensure client requests for beverage provision and any bureau services are adequately met
  • Must offer pleasant support to direct queries from clients
  • Ensure all calls are managed professionally including appropriate address when receiving calls, correct transfer, message taking and follow-ups
  • Ensure correct and timely dispatch of inbound and outbound mail
  • Keep track of office stationery and prepare monthly shopping lists as necessary and on time
  • Where called upon provide typing service to clients and ensure correct billing for the same on job cards
  • Take and maintain accurate records of bookings and use of meeting room ensuring vouchers are filled in and immediately signed by the clients
  • Ensure proper hand over notes are shared with CM whenever leave or off days need to be taken
  • Ensure all billable services provided to the client have accurate job cards or vouchers signed for by the client and subsequently forward to finance

 

Job Requirements

 

  • Diploma in Business or Hospitality
  • Excellent Microsoft Office suite skills preferably PowerPoint, Excel and word
  • Basic analytical skills
  • Strong relationship building skills
  • Excellent computer knowledge – not averse to learning new systems
  • Cold-outreach experience a plus
  • Customer service and sales experience required
  • Understanding and experience managing a team of more than two people
  • Must have strong verbal and written communication skills
  • Exceptional organizational and multitasking skills
  • Available to travel
  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and empathy.
